Privacy, Data Protection & Screening
Workforce Ready Service (WRS) handles personal information when providing employer onboarding, optional CV screening, candidate assessment and reporting support. This page explains how that information may be used without disclosing WRS's confidential operating methods or security architecture.

1. Information we may handle
- Employer contact, organisation, role and service-administration information.
- Candidate CV or application information supplied for the recruitment process.
- Candidate answers, assessment evidence, screening outputs and resulting reports.
- Limited technical, security, payment and audit records required to operate and protect the service.
2. Why we use information
Information is used only where necessary to provide the selected WRS service, administer the employer relationship, support recruitment assessment and reporting, maintain service security, meet legal obligations and keep appropriate audit records. WRS does not sell employer or candidate personal information.
3. CV screening and AI-assisted processing
Where an employer selects CV screening, WRS may use AI-assisted technology to compare information supplied in an application with the employer's stated role requirements and produce a screening output for the recruitment process.
AI-assisted tools may also support question creation, evidence organisation and report preparation. WRS does not use these tools to determine who must be employed. Final recruitment, interview, vetting and employment decisions remain the employer's responsibility, and meaningful human review should be retained where an output may materially affect a candidate.
4. Data-protection roles and lawful use
For candidate recruitment information, the employer will normally determine the purpose of the recruitment process and WRS will process information in order to provide the contracted service. WRS may act as an independent controller for its own service administration, security, legal compliance and audit obligations.
The applicable lawful basis may include contract, legitimate interests and/or legal obligation as appropriate to the processing. WRS does not request special category information for screening and it should not be supplied unless genuinely necessary and lawfully handled.
5. Sharing, security and retention
Access is limited to WRS, the relevant employer and approved service providers where required to deliver or secure the service. Appropriate contractual and data-protection safeguards are used with service providers.
Information is kept only for as long as necessary for service delivery, reporting, security, legal or audit purposes and is then deleted or anonymised in line with WRS retention procedures.
6. Your rights
Individuals may have rights to access, correct, erase or restrict use of their personal information, object to certain processing, and raise concerns about how information is used.
Where applicable, requests concerning an employer-led recruitment process may need to be handled with that employer. Individuals may also complain to the UK Information Commissioner's Office (ICO).
